Client Portal Privacy Notice

This Privacy Notice applies exclusively to the authenticated Channel Dynamics Client Portal (the “Portal”) accessed by authorized institutional clients.

Channel Dynamics (“we,” “us,” or “our”) is committed to protecting the privacy and security of individual users accessing our research platform. This Notice explains what personal data we collect, how it is used, the technical safeguards protecting it, and your rights regarding your data.

Personal Data We Collect and its Legal Basis

We collect only the minimum personal data necessary to grant access, enforce subscription licensing, and deliver research services.

  1. Account Identity: Your Email address, full/display name, employer firm name, team assignment and permission levels are maintained for account creation, identity verification, and managing research entitlements to ensure we provide you with the service you agreed in our Master Service Agreement.
  2. Authentication Credentials: Your Password (stored strictly in encrypted format) or SSO tokens via Google / Magic Link to provide you with a secure portal login.
  3. Research Activity Records: Reports opened, documents downloaded, audio files accessed, including dates and timestamps, are also retained by us to ensure licensing compliance, contract enforcement, protection of intellectual property, and regulatory compliance.
  4. Security and Technical Logs: Your sign-in IP address and browser type are retained to ensure platform security, threat prevention, and auditing unauthorized access attempts.

What We Do Not Collect:

We do not collect phone numbers, mailing addresses, payment/credit card details, or government identification numbers within the Portal. We do not engage in click-tracking, mouse movement tracking, heatmapping, or behavioral advertising tracking anywhere inside the Portal.

Cookies and Local Storage

The Portal uses browser storage strictly for essential operations and platform security:

  • Used exclusively to maintain active user login sessions, manage secure sign-in tokens, and defend against cross-site request forgery (CSRF) attacks.
  • We do not deploy advertising pixels, third-party behavioral analytics, or session-recording software (e.g., Google Analytics, Hotjar, or Mixpanel).

You do not see a cookie banner because browser cookies in the Portal are limited strictly to functional and security requirements.

Artificial Intelligence and Automated Processing

Channel Dynamics does not input client personal data, account activity, or platform usage telemetry into public or unsecured artificial intelligence models, nor do we permit any third party to use client data to train foundational AI models.

Where specialized AI software is deployed for internal search or indexing, processing occurs entirely within isolated infrastructure without transmitting data to external third parties.

Third-Party Service Providers

We share personal data only with trusted third-party service providers (data processors) strictly as necessary to host, operate, secure, and deliver the Portal. All service providers are bound by strict contractual obligations regarding data security, confidentiality, and compliance with applicable privacy laws. These categories of service providers include:

  1. Cloud Infrastructure & Hosting Providers: To host the web application, databases, and media content securely.
  2. Identity & Authentication Services: To manage user logins, session security, and credential verification.
  3. Communication Services: To send transactional system emails and sign-in links.
  4. Diagnostic & Diagnostic Logging Tools: To monitor platform uptime, diagnose technical errors, and secure system logs.
  5. Audio & Transcription Processing Services: To process audio recordings and generate text transcripts for published research.

We do not sell personal data to third parties, nor do we share personal data with third parties for cross-context behavioral advertising.

Data Retention

We retain personal data only for as long as necessary to fulfill the purposes outlined in this Notice, enforce our agreement terms, and satisfy applicable legal, regulatory, and compliance obligations.

  1. Account Identity Data: Retained for the duration of the client firm’s active subscription, plus 6 years following contract termination to satisfy corporate, accounting, and legal requirements.
  2. Research Reading and Download Logs: Retained for 6 years from the date of creation. Records remain accessible only to authorised personnel with strict accessibility controls. This is to support client service, account administration, and license enforcement; moreover, to comply with financial industry recordkeeping standards and support legal claims defense.
  3. Sign-In IP and Security Logs: Retained for 6 years from the date of creation. Security logs are retained for immediate threat monitoring and access auditing, after which they are maintained for regulatory verification and forensic investigation. Records remain accessible only to authorised personnel with strict access controls.

Security Measures

We implement reasonable and appropriate technical and organizational security controls to safeguard personal data. Passwords are stored exclusively using industry-standard salted hashing algorithms. Direct access to usage telemetry and database logs is strictly limited to authorized personnel.

Your Data Protection Rights

Depending on your jurisdiction (including under the EU GDPR, UK GDPR, and applicable US state privacy laws), you may have the following rights regarding your personal data:

  • Access and Portability: Request confirmation of processing and a copy of your personal data.
  • Correction: Request updates to inaccurate or incomplete identity details.
  • Erasure (“Right to be Forgotten”): Request deletion of your personal data, subject to statutory retention exceptions (such as legal defense or financial regulatory recordkeeping).
  • Objection / Restriction: Object to processing based on legitimate interests.
